Whalesync: How To Sync Data Between Airtable and Webflow

Whalesync connects corresponding records across tools such as Airtable and Webflow. Two-way syncing can support editors working in either tool.

In my original demo, I edited content from both sides. That experience may not match today's timing or every field combination.

Connect and map a small collection

Start with a test Airtable table and a staging Webflow collection. Authorize only the intended site and base. Map the table to the collection, then review each field mapping. Matching names help you identify fields. They do not replace checking field types and values.

Separate sync from publication

Whalesync provides a Webflow Status field for Published, Draft, and Archived states. Its current guide requires Webflow site publication to make changes public. CMS structure changes also require republishing for syncing. Updates can clear an item's publishing schedule, so review scheduled items after changes.

Test edits and conflicting changes

Create one draft listing with fake data. Edit its summary in Airtable and inspect Webflow. Then edit it in Webflow and inspect Airtable. Confirm that one matched record remains on each side. Record completion times instead of assuming changes are instant.

Next, change the same field from both sides before syncing finishes. Record which value survives and inspect any errors. Do this only with disposable test content. Decide which tool owns each field before allowing multiple editors. Test deletion behavior separately before enabling it for valuable records.

Choose sync or automation

Sync suits corresponding content. An approval workflow, conditional message, or payment action needs explicit business logic. For that approach, structure a Webflow CMS automation.
